Short Term Rentals: When a department is renting out space in OSU facilities or on OSU property for a short-term activity to a non-OSU entity, most space is contracted for through the Office of Conferences and Special Events, so they should be contacted and coordinated with. We will work either through them, or with the department directly when appropriate, and with Procurement and Contract Services (PaCS) to determine the appropriate contracting mechanism to use. There are a variety of templates and tools available and Real Property is ready and able to modify them as necessary to meet the need. We will, depending on the activity, coordinate any needed approvals through PaCS, OSU Risk Management, General Counsel or other on or off-campus units.
Leases and Licenses of Space: Any grant of control of OSU space to a non-OSU entity for longer than several hours will constitute a Lease or License. Lease of, or Licensing access to, real property or space owned by OSU is restricted and must be approved through the Campus Planning Manager and approved by the Vice President for Finance and Administration - activities coordinated through the Real Property unit. Departments considering leasing or licensing (more than a one-day rental) space to non-OSU entities should review the OSU Policy for the Lease of Space to Outside Entities and complete a Request for Space Form.
